The Challenge

Hiring isn’t just about filling open roles—it’s about building relationships over time with the right people. But most recruitment systems are designed around short-term hiring goals and rigid workflows. As a result, high-potential candidates often get lost in outdated CRMs or forgotten spreadsheets, and companies miss out on future hires they’ve already met. We faced this very challenge ourselves. Managing outreach, candidate pipelines, and talent insights across multiple hiring managers and time zones had become inefficient and opaque. We needed a system that would help us nurture long-term candidate relationships, track engagement, and surface the right talent at the right time.

The Solution

Our internal software engineering, AI, and product teams came together to build Kandidator—a flexible and intelligent platform for Talent Pool Management. It centralizes candidate data into clean, searchable profiles enriched with notes, tags, and relationship history. Integrated AI models help surface candidates that match open or future roles based on skills, experience, and hiring signals. We focused heavily on usability, crafting a simple, elegant UI that allows recruiters and hiring managers to stay aligned and act fast. Kandidator adapts to each team’s hiring style while offering powerful filters, smart lists, and relationship insights. In parallel, we conducted deep AI engineering work to enable smarter recommendations and support semi-automated workflows like re-engagement nudges and talent rediscovery.

The impact

Kandidator has transformed the way we manage recruiting internally. By giving us a live, structured view of our entire talent pool, we can now plan hiring more proactively and respond to hiring needs more quickly. Our recruiters are able to build real relationships with candidates over time, not just during the interview process. We've reduced time-to-fill, increased candidate engagement, and made more consistent, informed hiring decisions. As our internal hiring process improved, we saw growing interest from partners and clients facing similar challenges—leading us to explore Kandidator’s potential as a commercial SaaS platform for other relationship-first recruiting teams.
